Cancellation & Refund Policy

We believe in fair, transparent billing. Please read this policy to understand how cancellations and refunds work for AshPro Technologies services.

This Cancellation & Refund Policy applies to all services provided by AshPro Technologies ("Company", "we", "us", or "our"), located at Periyakallapadi, Tiruvannamalai, Tamil Nadu, India. By engaging our services, you agree to the terms outlined in this policy.

1 Overview

Overview

AshPro Technologies offers a range of services including fixed-price implementation projects, monthly retainer plans, Zoho subscription assistance, and training programs. Each service type has its own cancellation and refund terms, detailed below.

We encourage open communication. If you are dissatisfied with any aspect of our service, please reach out to us at hello@ashprotech.com before initiating a cancellation — we will do our best to resolve your concerns.

All cancellation and refund requests must be submitted in writing via email to hello@ashprotech.com. Verbal requests will not be accepted or processed.

2 Fixed-Price Projects

Fixed-Price Implementation Projects

Fixed-price projects are scoped and agreed upon in a Statement of Work (SOW) prior to commencement. The following cancellation terms apply:

  • Before Project Start: If you cancel before work has commenced, any advance payment made (excluding payment gateway charges) will be refunded in full within 7–10 business days.
  • After Project Start — Within 7 Days: A partial refund may be issued after deducting the cost of work completed up to the cancellation date, as assessed by our team.
  • After 7 Days or Milestone Completion: No refund is applicable for completed milestones. Payments for in-progress milestones will be assessed on a pro-rata basis.
  • Project Delays Caused by Client: No refund or cancellation rights apply where project delays are caused by the client's failure to provide information, feedback, or approvals on time.

⚠️ Once a milestone has been formally signed off or approved by the client, the payment for that milestone is non-refundable, regardless of subsequent cancellation.

3 Retainer Services

Monthly Retainer & Ongoing Support Plans

Monthly retainer and support plans operate on a prepaid basis and are subject to the following:

  • Cancellation Notice: Either party may cancel a retainer plan by providing 30 days' written notice prior to the next billing cycle.
  • Mid-Cycle Cancellation: If you cancel mid-cycle, services will continue until the end of the paid period. No refund is issued for the remaining days in the current billing period.
  • Prepaid Multi-Month Plans: For prepaid plans covering 3, 6, or 12 months, the unused portion (after deducting work completed and a 10% administrative fee) may be refunded upon written request.
  • Auto-Renewal: Retainer plans auto-renew unless cancelled in writing at least 7 days before the renewal date. Charges made after a missed cancellation notice are non-refundable.
4 Zoho Subscriptions

Zoho Subscription & Licence Assistance

AshPro Technologies acts as an authorized Zoho partner and assists clients in purchasing and managing Zoho product subscriptions. Please note:

  • Zoho product subscriptions are governed by Zoho's own refund and cancellation policy, which is separate from AshPro's policy.
  • Our service fee for Zoho subscription facilitation is non-refundable once the subscription has been activated.
  • If Zoho grants a refund on a subscription procured through us, we will pass the refunded amount to you after deducting applicable service fees.
  • Downgrade or plan changes for Zoho subscriptions must be requested before the renewal date; mid-cycle downgrades are subject to Zoho's policies.

For Zoho-specific refund queries, we recommend contacting Zoho Support directly at zoho.com/contact.html. We are happy to assist you in the process.

5 Training & Consultation

Training Sessions & Consultation Services

  • Rescheduling: Training sessions may be rescheduled with at least 48 hours' advance notice at no additional charge.
  • Cancellation (48+ hours notice): A full refund or credit note will be issued for sessions cancelled at least 48 hours before the scheduled time.
  • Cancellation (less than 48 hours): No refund will be issued. The session fee will be forfeited.
  • No-Show: If you do not attend a scheduled session without prior notice, the full session fee is forfeited with no refund or rescheduling rights.
  • Consultation Packages: Unused hours in a prepaid consultation package may be refunded on a pro-rata basis if cancelled with 30 days' written notice.

7 Non-Refundable Items

Non-Refundable Items

The following are strictly non-refundable under any circumstances:

  • Payment gateway transaction fees and processing charges.
  • Third-party software licences, tools, or subscriptions procured on your behalf.
  • Completed and client-approved work, deliverables, or milestones.
  • Retainer fees for the current active billing period.
  • Training session fees where less than 48 hours' notice was given or where the client did not attend.
  • Administrative fees (10%) applicable to early termination of multi-month prepaid plans.
  • Domain registration, hosting, or infrastructure costs incurred on your behalf.

🚫 We are unable to process refunds for services where work has been delivered and accepted, even if you choose not to use the delivered solution.

8 How to Cancel

How to Submit a Cancellation Request

To cancel any service or request a refund, please follow these steps:

Email us at hello@ashprotech.com with the subject line "Cancellation Request – [Your Name / Company]" and include your project or invoice reference number.

Provide Reason & Details

Briefly describe the reason for cancellation and the service(s) you wish to cancel. This helps us assess eligibility and improve our services.

Acknowledgement Within 2 Business Days

Our team will acknowledge your request and confirm receipt within 2 business days.

Review & Decision

We will review the request against this policy and communicate the outcome — including any refund amount — within 5 business days.

Refund Processing

Approved refunds are processed to the original payment method within 7–10 business days from the date of approval.

9 Refund Timeline

Refund Processing Timeline

Once a refund is approved, the processing timeline depends on your payment method:

  • UPI / Net Banking / Wallet: 3–5 business days.
  • Credit / Debit Card: 5–10 business days (depending on your bank's processing time).
  • Bank Transfer (NEFT/RTGS): 5–7 business days.
  • International Transfers / Wire: 7–14 business days.

Refund timelines are estimates and may vary based on your bank or payment provider. AshPro Technologies is not responsible for delays caused by banks or payment gateways once the refund has been initiated from our end.

10 Disputes

Disputes & Escalations

If you are not satisfied with the outcome of your cancellation or refund request, you may escalate the matter by writing to hello@ashprotech.com with the subject "Dispute Escalation".

We will make every reasonable effort to resolve disputes amicably. Unresolved disputes are subject to the dispute resolution process outlined in our Terms of Service, which includes binding arbitration under the laws of Tamil Nadu, India.

⚠️ Initiating a chargeback or payment dispute with your bank before contacting us may result in suspension of your account and services. Please reach out to us first — we are committed to resolving issues fairly.
